The ultimate goal of Building Management is to maintain property value by delivering customer satisfaction. In this case, the customer can be the building tenants and the visitors of the property. Ensuring the satisfaction of both types of customers means expenses for the building. But without customer satisfaction, income for the building will suffer. Thus to achieve its goal, Building Management must be able to properly manage cash flow.
Managing cash flow for a commercial or residential property is not a simple process due to the number of expenses (both routine and incidentals) and the many different tenant agreements (e.g. anchor tenant, regular tenant, events, etc.). Moreover, building expense and income are tied to the day to day operational setup which varies depending on the type of properties (e.g. mall, residential, office, and mix-use). To build a property management system that can cater to these requirements are not a simple feat and traditionally the cost associated to purchase such system can be quite significant. However by leveraging Azure cloud infrastructure this system can be delivered as a service with a price point that is agreeable to high-end and low-end properties. Specifically, Bimasakti As a Service includes a number of mobile applications that simplifies operation at the front lines: Handover App, Tenant App; and Engineering App. Further explanation on each of these Apps are given below.
Handover App
Handover App is used by Building Management to standardize the handover process and to ensure that all incidents during handover are captured and addressed appropriately. Further it automates the routing of incident resolution to the right department and the administrative process following the handover (e.g. shifting the invoice of service charge from developer to tenant).
Tenant App
Tenant App is the link between the tenant and the Building Management.
- Tenant can make requests & submit feedbacks that are immediately captured in the core system. Categorization and routing are done automatically so that right department can immediately provide resolution. Tenants can follow the building’s response because case updates are pushed to the app.
- A special mode of Tenant App is used by the Tenant Relation Officer to monitor request and feedbacks, as well as to submit new requests on behalf of the tenant. Updates from the Building Managements are distributed through Tenant App. The ability to schedule when messages are delivered ensures that news are delivered at the most relevant time.
- Tenants receive their invoice from the Back Office along with notifications and reminders of due payments. Online payment can also be done through the app.
- The Back Office will automatically receive notice of bill payment to avoid any interruptions of service.
Engineering Apps
Engineering App is used by the Building’s Engineering Team to receive tasks and perform follow up work. This app manages both incidental work and routine work that the engineering team needs to handle. The Engineering App has mode for supervisor and team members, with privileges and escalation route tied to the type of users.
- Task/ work status are updated in real time, so the KPI of Engineer can be monitored right away by the supervisor & tenant
- Predefined criteria/measurement of task completion ensures that services are delivered in accordance to a high standard.
- Building Management can see performance of each engineer's task/ work accurately
